Hello MFJ Readers. 

This week's article, "Meeting Mapping," explores my recent love affair with a mind-mapping software program called MindJet.com. Lately, I've become a veritable mind-mapping madman. What is it that has me so hooked? I think it's the fact that I can quickly capture (and find) ideas that come to me in a non-linear, visual fashion. This article briefly highlights the benefits of using this software to design and conduct meetings.

Meeting Mapping
Using Mind Maps to Create and Run Effective Meetings



The Point

I have recently become a fan of a mind-mapping software program called MindJet.com. Lately, I've become a veritable mind-mapping madman. What is it that has me so hooked? I think it's the fact that I can quickly capture (and find) ideas that come to me in a nonlinear, visual fashion, similar in form, I believe, to the way they come to us.

In fact with the help of Rob Berkely, my coach, we generated pages of mind maps to flesh out our FacilitatorU.com business. What was before to broad and diffuse to get my arms around, now I have a framework I can see. This framework includes the actions I need to take as well and lets me relate them to each major aspect of the business. Though there's a heck of a lot to do, I feel additional energy is freed up to work on it now that I'm clear what all is there.

So what in the world has this to do with facilitation you might ask? Well I'll tell you. It just so happens that people use this software to develop and run meetings, not to mention the fact that you can use it to help your groups brainstorming new ideas, plan projects, and resolve conflicts!

I've included a mind map that can be used as a guide for creating, running and following up on meetings. Why not give it a try.

Essentially, the greatest benefits I see from using mind maps this way are:

  • It's easier to organize idea, actions, and ideas as they come in their proper place for later collation and documentation.

  • You get to see a picture of your entire meeting as you move through it. Start at the top and move clockwise following each branch to completion as necessary.

  • Whole new maps can be easily created and linked to main map that include detailed agenda items, problem areas, unrelated but important topics, etc.

  • It's easy to find your place on a mind map than it is in a text document.

  • Software allows you to make detailed text notes for any branch of the map.

  • Business edition allows map can be exported to MS Word into a textual format complete with notes attached to each branch.

  • Maps can be shared with participants after the meeting in a way that allows for quicker and easier communication of ideas.
